The department has donation forms in the ME office (see Angela Vanson) or you can download it here?.
Donations by mail
Your sponsors can use the Donation form and write you a check (can also get envelopes from the ME office). Have them mail the form and check to the address on the Donation form?. Make sure they write Mechanical Engineering, M E4000, Team Name on the form and check.
OR
Your sponsors can also give through the University “giving site”. They can submit by mail (have them click “If none of the above, specify:” on the first page, and write “Mechanical Engineering, M E4000, Project Name”) in the blank field and then continue on to the following pages.
Donations online
They can also submit online via credit card (have them click “If none of the above, specify:” on the first page, and write “Mechanical Engineering, M E4000, Project Name”) in the blank field and then continue on to the following pages.
Donations in person
Or they can simply fill out the Donation form and write you a check. Give the check and form to Angela Vanson in the ME office to deposit in your project’s account. Make sure they write Mechanical Engineering, M E4000, Team Name on the form and check.
“In-Kind” donations
You may recieve materials or supplies as donations. If this is the case, the company can still get a tax deduction. Just have them fill out the Donation form and write the value of the donated items and write “IN-KIND” below the amount entered. Give the form to Angela Vanson in the ME office. Make sure they write Mechanical Engineering, M E4000, Team Name on the form.

Information for purchasing
You can either pay for things and then get reimbursed or fill out a purchase request. Forms for each of these are at the ME front desk by Angela Vanson (this assumes you have money in your team account). You will need to get Dr. Provancher’s signature on these forms.
- Purchasing out-of-pocket and then getting reimbursed
If you are buying equipment and supplies for your project, you can buy things as TAX EXEMPT since you are buying them for a university project. However, you will need the TAX EXEMPTION FORM. This will help stretch your buck a bit.
- Reimbursements for amounts under $500 are pretty straight forward. If your purchase is for more than this, you should probably fill out a purchase request instead and/or talk with Angela Vanson first.
- Purchase requests take a few days to purchase, but if the form is filled out correctly can save you a lot of hassle. For small items (3′ cube and smaller) you can have items shipped to the ME office address:
